Assignments tab - Create Assignments from App Tracker & the Student list

Watch this video to know how to generate assignments directly from the student list and the app tracker

You will need to have specific columns turned on for the student list and the app tracker

  • Go to your college data menu and open the banner for application guidelines
  • Turn on an application policy column in both the student list and the app tracker
  • Open the banner for status and strategy columns
  • Turn on the corresponding application requirement status column
To reiterate: you are turning on the essays column and the essay status column
  • Close the college data menu and go to the student list
  • Arrange the columns so that the essay column and the essay status column are next to each other
  • Go to the app tracker and do the same thing

  • While you are in the app tracker look in the essay column and find the small document icon click on it to generate essay documents
  • Generate an essay document directly into the students Google drive folder for each one of their essays
  • Return to the student list
  • Go to the essay status column and write a note to your student.
" I have generated a document for each one of your essay prompts follow the link in this assignment and you will be taken directly to your document."
  • Save your note and then click the small clipboard icon within the status cell
  • The screen will automatically change taking you to the assignments prompt and opening the author box for the assignment that you have just created
  • Notice that the assignment has the title of the column the name of the school and the contents that you have added to the cell
  • Find the Google Drive icon above the author box and click there
  • The window that opens is your students shared folder
  • Double click into the essays folder that CounselMore has created for you
  • Single click on the respective essay that should be linked to this assignment
  • Click Select at the bottom of the Google window
  • You will now be returned to the assignment where you will save the link to the document

As your student is making changes to their essay you will go to the status and strategy cell and update the notes or change the color of the cell to indicate progress or lack of progress

  • You will notice that the clipboard icon will change color to green when there is an assignment attached to it and when there is an assignment not attached
  • Email your student their essay assignments with the associated document link
  • When your student receives their email they will click on the link that will take them directly to the document
  • When your student has completed the assignment you will receive a notification on your Bell in the top right hand corner of your account
  • Click on the bell and click on the student's message the screen will change automatically taking you to the students record and the associated assignment

 

💡When a student marks an assignment as completed, you'll find it under the Returning Assignments section.

This is an excellent tool to use beginning with the students list and then following the progress of status through to the app tracker. You do not need to turn on columns in both the student list and the app tracker, that was only demonstrated for you here for the purpose of understanding.



What is the difference between Assignments, Routine Assignments, and the App Tracker Assignments


Assignments

  • Created directly in a student’s record under the Assignments Tab.
  • Tailored for one student, with options to attach files, add instructions, set dates, and assign to student/parent/counselor.

Routine Assignments 

  • Think of these as templates or a “master folder.”
  • You build them once in Settings > Routines Manager, and they can be applied to many students.
  • Can be bulk-assigned to groups of students or added from within a student’s record.

App Tracker Assignments

  • Generated from the Application Tracker for that student only.
  • They reflect that student’s individual application process.
  • These cannot be bulk-assigned because they’re tied only to the student’s personal application list.

💡 The App Tracker can only generate assignments for that specific student. Routine Assignments are your reusable templates, while regular Assignments are one-off tasks for individual students.

 

There are 2 types of assignments

College readiness and

College applications


And there are 2 parts to college applications

College Readiness - (all the things the student must make ready) which the Assignments packages guides that process through an average of 20 assignments.

All 20 (or more or less) are assigned to to student at one time but the date of when each should be released to the student is set (also the counselor may "tailor" the list based on student need to time they have left...

College applications - During college applications - the App tracker will track each individual requirement per application and generate an assignment for each.
