How to delete a student record - Change the Status of the record.

DO NOT DELETE STUDENT RECORDS - because you do not need to do that. Change the Status of any record instead. When you delete a student, all associated data (billing, payments, etc.) will be permanently removed from your CounselMore portal. This action cannot be undone.

Follow these steps to delete a student:

Access the Student Record


◦ Click on the student's name from your dashboard.
◦ Next, click the pencil icon beside the student’s name to open the student record.
◦ Scroll to the bottom of the student record and click Delete Student.

Confirm Deletion


◦ A pop-up will appear asking if you are certain about deleting the student.
◦ The pop-up will also inform you that all data related to this student will be deleted permanently.
◦ If you’re sure, type "delete" in the confirmation field and click OK to finalize the deletion.

The student and all their related data will now be permanently removed from your system. 

If you are unsure about deleting a student and may need their data later, it is better to archive the student instead.

 

Steps to Archive a Student:


◦ Go to the student’s record by clicking their name from your dashboard.
◦ Navigate to the Student Information section.
◦ Change the Status to Archived.



◦ The student’s portal will be closed, preventing further access.
◦ All their data will be retained in CounselMore and will be included in reports.



If needed, you can change the status back to active at any time and invite them again to restore their access.

Scenario Example:
A client accidentally added a student twice and was charged for the extra student:

  • Receipt #2928-4477 shows the duplicate charge of $2.25.

  • The duplicate student was then deleted.

What happens in the system:

  • Billing in CounselMore is calculated monthly based on the active student count.

  • Deleting a student does not generate an immediate refund.

  • The system automatically credits the overcharge in the next monthly billing cycle, so the client’s balance is corrected retroactively.

✅ In this example, the client will see a $2.25 credit applied during the next billing cycle. No manual action is needed.
