These banners ask for the same information as the most commonly used college application; CommonApp

STUDENT INFORMATION

Complete all student information upon intake of new student because the information added will appear elsewhere in the application creating reporting features for you. The Counselor can ask questions and complete the answers or work with CounselMore's team to connect the biographical banners to an intake form through API or bridge information collection with hub apps.

Presently, Calendly and Acuity are integrated with CounselMore - both offer questions at the time of scheduling. The information collected on these forms will appear inside your CounselMore account at the time of booking.

CONTACTS (Parent Portals)

Contacts are any person's contact information you'd like to save under the student record. Contacts can be added at the time of adding student name, listed as (optional) and not mandatory to starting a student record. Parent / Sibling information is collected here and sharing fo Google Drive folders and Inviting to the portals are contained here.

ACCEPTED  / DECLINED - Admissions Outcomes


Screenshot 2024-11-30 at 6.53.19 AMThis Biographical Banner is labeled Accepted/Declined (and in some platforms it is labeled Admissions Outcomes) because it is where the Counselor or Student can enter in previous application outcome information; it mirrors the App Tracker list. Counselors will record application outcome as results are coming in or will record application results post-season, in retrospect. Scenarios to consider: Some counselors find that the student will continue applying to schools after the Counselor believes the process is concluded. Some Counselors want to record their student's undergraduate results while preparing the student for graduate applications. While others still may want to enter results retrospectively for good record keeping.

All information added here will be included in reporting. Counselors new to CounselMore, can boost their data by simply sending CounselMore's support team an excel file of historical client information. CounselMore will upload this to your account. See Importing Data.

Counselors have the ability to email students after App Season to request they record their application results. Ask a CounselMore Tech Mentor how you can automate that happening.

If you are working with younger students who are still attending High School this space can be used to plan their four-year course directory.
As plans change exports of the course course progression planner, will export directly into the students Google drive folder.

EXPORT TO GOOGLE DRIVE


Send exports of current values to offer stakeholders quantifiable progress.

As the students profile is growing, export copies of their biographical banners directly into the student's Google drive folder for easy sharing with parents. This can also be done right before applications to lower the students stress by allowing them to copy and paste the answers into the application. By completing the biographical banners you are completing your historical client information as well as preparing the student for the college application. This export can also be used as a academic resume if the student has no other resource.

Find the student's name at the top of the screen, click the pencil. 

The screen will slide down and the Student profile will open. The first Banner is Student Information. This is where student  information entry happens. 

Change the students status from Prospective, Active, Archive and enter in other specific conversion information.

If you are inviting parents to the portal, parents also have access to the student profile and can complete the information for you. Goodness


What is an Academic Resume or Curriculum Vitae 

The Academic Resume is the summary of a high school career. It will include the same information colleges request on their applications. Having all this information in one place, and exporting it to a Google doc means your student has an easy way to complete their CommonApp.

Since all information can be collected prior to applications opening, the preparation timeline is better managed.

The Academic Resume is also used for letters of recommendation requests. Giving the recommender more to consider when writing their letters.

 

Switching a Student from Prospect to Active
  • Expand the Student profile by clicking the pencil to the left of the Student Name.

  • Expand the Student Information (topmost) section. Click the pencil to the right of the Status dropdown menu.

 

 

Where are my Archived Student Records?
  • At the bottom of your QuickList.

 

How do I delete a Student Record?  
WARNING: You will not be able to retrieve a deleted record
  1. Expand the Student profile for the student record

  2. scroll to the bottom

  3. Click the Delete Student button.

  4. A warning message will popup

  5. Think carefully, click 'OK'.

 

 

How to Tag a Student
  1. Go to any Student Record > Click the pencil to open the Student profile

  2. Expand the Student Information banner

  3. Enter something in the "tags" section and click enter

 

 

TIP: Student tags can be used to more efficiently send out Broadcast message

 

How to enter a high school on a student record
  1. Go to any Student Record > Click the pencil to open the Student profile

  2. Click to open the student information banner

  3. There is a field titled High School

  4. Type in the name of the high school and hit <enter> on your keyboard.

  5. This will save the name of the school to your drop down menu. When you return to enter a new high school, your drop down menu will offer all of the saved options.

  6. Click to select.

  1. Look to "At a Glance bar" running to the right of student name, top of screen

Assigning Assessments From The Student profile

This video shows you how to assign Assessments after a Student is created.

 

 

  1. Go to any Student Record > Click the pencil to open the Student profile

  2. Click the Self-Assessment Banner to expand the window

  3. Select the Self Assessments you want to share

 

TIP: Assign an Assessment during Student creation to save time:
  1. Click Add Student.
  2. Add the information as you normally would.
  3. At the bottom of the popup you will expand the Self Assessment banner.
  4. Simply tick the Self Assessments you want to share.
 

Note: Even after the first sign in, a Student call always access Self-Assessments by going to their Student profile > Self-Assessments.

 

High School Course Progression Planning

  1. Go to any Student Record > Click the pencil to open the Student profile

  2. Expand the banner titled: Course Progression

  3. There is a planning grid. Each cell is customizable.

  4. The student can fill in this information from their Student Portal so you don't have to

  5. Save to Student Record Folder by Exporting to Drive

 

 

Exporting Student profile to Generate Academic Resume

Your Google drive must be connected.

  1. Open the Student profile of the student
  2. Scroll to the very bottom of the page
  3.  Click Export Academic Bio to Drive
