CounselMore Reporting Feature Guide

Overview:

The Reporting feature in CounselMore is designed to help you manage student information and track counseling activities effectively. This guide will walk you through the various types of reports available and how to use them to gain valuable insights.

Accessing Reporting:

To access the reporting feature, navigate to your Settings Menu > Reporting.

Types of Reports:

  1. Account Activity Report:

    • Financial Summary: Provides a comprehensive overview of the student's financial status, including total balance and payment totals. You can filter this information by graduation year and export it to Excel for further analysis.
    • Deposits: View all payments made by clients. You also have the option to export this information to Excel.
    • Invoices: Lists all issued invoices. You can mark payments as settled by clients and manage their financial records. Note: Marking an invoice as paid does not automatically reduce the balance in the accounting section.
  2. Accepted / Declined Section:

    • Track schools featured in the app tracker and review student metadata at a glance.
    • Filter results based on various criteria and export the information for analysis.
    • Viewing Options:
      • By Students: View individual student data.
      • By College: Access raw data for performance assessment and website promotion.
  3. Assignments Section:

    • Track tasks assigned to students, parents, or counselors.
    • Use filters to streamline your search based on graduation year, student status, completion status, and assignment status.
  4. Contact Information Section:

    • Contains biographical data of your clients.
    • Export this data for further analysis and utilize filters to streamline your search.

Benefits of Using Reporting Features:

  • Enhanced Financial Insights: The Financial Summary and Deposits sections provide clear financial overviews, helping you manage payments and balances effectively.
  • Efficient Data Management: The Accepted / Declined section and Contact Information section allow you to organize and analyze student data efficiently.

Financial Summary - This section provides a comprehensive overview of the student's financial status, including the total balance (outstanding amount to be paid) and payment totals (amount already paid).  It has also a feature that allows you to filter this information by graduation year and conveniently export it to excel for further analysis.


Deposits - This section displays all payments corresponding to the date the student actually made the payment and you have the option to export this information to Excel for further analysis.

Invoices - The Invoices section provides a comprehensive list of all invoices that have been issued. You have the option to mark the payment as settled by your student by checking the corresponding box.

Please be aware that marking an invoice as paid  does not automatically reduce the balance in the accounting section.

Tip:  It is necessary to record a payment  to ensure that the balance in the accounting section reaches zero.

Accepted / Declined - Schools featured in the app tracker are institutions selected by counselors and added to students' lists (see image 1). If a student rates a school with a "heart" it can be found in the accepted/declined section for further review. (see image 2 and 3)

Note:

To streamline your search in the accepted/declined section, you have the option to filter results based on college, high school, graduation year, result, and enrollment status. You also have an option to export all the information for your own record or analysis.  

Tip:

There are two options to view the accepted/declined section: By students and By college.

When viewing from the by college perspective, you have access to all the raw data that can be utilized for website promotion at the end of the season. This provides insight into performance assessment, areas for improvement, and trends observed with students, among other aspects.

Assignments - In this section, you can keep tracks on the assignment disseminated to your student,  parent, or for even counselors like you. You also have an option to streamlined assignment by utilizing the filter section: grad year, student status, completion status, and assignment status.

Contact information - The section contains the student profile of your students. You have the option to export this data for further analysis and utilize various filter options to streamline 3your search.
