Student profile - Invite Student & Parent to Portals Your student will not have access to their portal until you send an invite and they create an account

How to Invite Clients to the Portal:  Inviting a Student to their Portal

1) Go to any Student Record

2) Look at their At a Glance Bar

3) Click the blue lock icon to invite


4) Button will turn green indicating that the invite has been sent

Step 1: Click on the icon next to the student name to open the Student profile.  The icon can be found near the upper left, right next to the student's name. In Figure 1 there is a red arrow pointing at the icon.

Step 2: Now that you are in student records click on contacts. This will open up the student's contact menu.  It is here that you can add the information for the parent/guardian of the student.

Step 3: After you have added the contact information, the next step is sending the parent portal link.  This is done by simply clicking on the lock icon with invite written next to it. Figure 3 shows the exact location.  When you click this icon it will automatically send a parent portal invite to their email. If you choose to have more than one parent portal license per student record a message will take you to the next steps.

Pro tip: After the parent or student signs in, come back to either of the "lock" icons, hover over the icon and see the last time either has signed into their portal.

HOW TO GROOM THE STUDENT PORTAL PRIOR TO INVITING CLIENTS

You will want the client to feel the portal was created for them . This means you will set up the portal for all clients AND ALSO you will groom the portal for each student before they arrive into the portal.

 
  1. Add the Student:

    • Enter the student's info (or use the parent’s name if you don’t have the student’s name yet, you can change the name gain later anf your files will auto-change too).

    • leave student email box empty if you do not yet have the student's email address

  2. Edit Contact Information:

    • Click the pencil icon next to the student name (top of page) to add the parent’s contact and email details.

  3. Prepare the Portal for the Family:

    • In the assessment banner, enable questionnaires to greet clients as they enter the portal.

    • Set up introductory assignments—use examples from Danny Demo assignments.

    • Add a few familiar local schools with default data columns to student list.

    • If your Google Drive is connected, add Master folders "Welcome" folder to Files tab

  4. Invite Parent to Portal:

    • Let the parent know they’ll be receiving an invite to the portal.

    • Go back to the contact banner, select “invite” for the parent, and share the Google Drive folder so they can upload necessary files, like the student’s transcript to the parent portal Files tab. (click folder and lock icon to invite parent)

  5. After Parent Receives Invite:

    • The parent logs in, fills out the questionnaires, completes the information sections, and marks the welcome assignment as done.

  6. Pre-Meeting Review:

    • Check the portal content before your first meeting. This way, you’ll know if this client is a fit or if they may need a referral.

Include questions in the form that will assist you in personalizing the portal for each client before their arrival.
