Understanding your invoice

Managing your billing and invoices in CounselMore is straightforward. Here’s what to expect when you receive an invoice and how additional charges work.

When you purchase your account - you will receive an invoice

You are never locked into a plan. Add students to your chosen tier anytime.

If you exceed the number of students included in your chosen tier plan, you’ll receive an invoice for the additional cost.

We want you to counsel more students. When choosing your tier, you will do so by choosing a tier for your average number of students. You are charged by tier plan but can still add onto any plan when you need to at less than half the cost of your regular per student rate.

When you add an additional student beyond your tier plan - you will see a message on your screen:


The email address for the Admin of your account, will receive an invoice for the cost of additional student - that cost will be $4 or $2.25 or $1 depending on your chosen tier - for the current month. Notice how you save money when you add students.


Example: The invoice below is the $35 tier plan, and the Counselor added an additional student beyond their 5 Active Student / $35 P. Mo. tier - they didn't have to change plans or upgrade, they just added for $4.

If they continue adding to the $35 tier, they will receive a message on the screen letting them know that at the 11th student - they will save more money at the next tier plan... 

When a student record status is changed from Active to Archive the record will read Pending Archive and at the end of the billing cycle will move to archive. Click here to read the article on each student record status.

Other Invoices You May Receive

• Adding the Management Suite – When you upgrade to the Management Suite, an invoice will be generated.

• Purchasing Additional Licenses – Add teammates to your account anytime. When you add a new license, you’ll see a confirmation message and receive an invoice upon purchase.

The Counselor example in the above invoice has:

Their own license and a student record tier of $59 / 15 Active Students

Plus they added 5 teammates

Billing inquiries are not handled by tech support desk because your privacy matters. Billing questions will be handled by our confidential files office. Billing questions are responded to in less than 7 days and resolutions are 10 - 15 day turn around. Visa and Mastercard govern the credit card disputes and allow for a 45 day turn around to all transactions. CounselMore's recorded response time for billing resolutions is an average of 12 days to resolution.
