ACTIVE | PROSPECTIVE | ARCHIVE
There are 3 status levels for each student record. This is adjusted per student, in the Student Profile > Student Information > Student Status
- A customer is only charged for ACTIVE student records, per month.
- The default status level for a student record is PROSPECTIVE. A counselor must change the student status - it is not changed automatically.
- A student records' status can be changed any time.
- 👉 Active student record charges are applied monthly only. Status will change on your screen. Active student charges will drop off at end of current billing cycle.
ACTIVE - When a student record is in ACTIVE status, all capabilities are turned on and accessible.
PROSPECTIVE - When a student is in PROSPECTIVE status the capabilities are limited to the Student profile building section.
ARCHIVE - When a student is in ARCHIVE status the account data is frozen and cannot be edited unless the status is changed.
When a student record is archived the student portal automatically closes. The student is not able to access their student portal when the record is in archive status. The parent is not able to access their portal when the record is in archive status. To reactivate, change status and re-invite.

If your answer is below 10, stick to the $35 mo. / 5 Active student records. If you need to add more, you can add Active student records at $4 p.mo./p.record. Add an unlimited number of contacts. Store lists of prospective clients or bring historical client data to be saved in your unlimited archive storage.
This is what the hypothetical cost would look like for a practitioner with 6 Active Student Records. This practitioner is likely just beginning to build their practice and we'll need to gradually add active Student Records.
$35/5 + $4 (1 additional Active student record) = $39 p.mo./p.record.
When you reach the need for at least, 10 Active Student Records it makes good financial sense to move to the first plan level.

This is what the hypothetical cost would look like for a practitioner with 17 Active Student Records. This practitioner is likely continuing to scale their practice or purposefully keeping their practice to a limited number of students. This practitioner needs to keep costs under control and be able to expand and contract their student number.
$59/15 + $4.50 (2 additional Active student records @ $2.25 ea.) = $63.50/mo.
When you reach the need for at least 30 Active Student Records, it makes good Financial sense to move to the next plan level.

This practitioner has a thriving practice but needs more organizational tools for their growing student list. Most importantly, they need the ability to add Active student records, during a sales rush, and be able to de-activate students who did not pursue their services. Maintaining control over the fluctuating balance between income and expenses. This is the most cost conscious plan for a growing practice.
$99/35 + $2.00 (2 additional Active student records @ $1.00 ea.) = $101 p.mo./p.record.
When you reach the need for at least 80 Active Student Records, it makes good Financial sense to move to the next plan level.

The No-Commitment Plan:
$35 for 5 students, each additional Active student can be added for $4 /mo.
If you are willing to commit to one year on a tier plan, you will receive each student at a much lower cost. But if you need the flexibility, we've made that very easy.
By choosing a tier beyond the non-commitment , $35 plan, you will receive a discount on every student, plus free Active student storage. See grid below.
Because the discount is significant, we ask for your 1 year commitment to the tier only. That means student records added beyond the tier level can still be removed / added as needed. Your commitment is only to the tier.
Additional Staff Licenses:
First additional license added: $19 p.mo. (50% off the first additional license)
Second additional license and beyond licenses are added: $39 p.mo.
Staff members charges are pro-rated daily use. You are charged for the days the additional license is active.
Add more than 10 additional staff licenses and receive an added discount. Contact support for a tailored quote.
Management Staff Capabilities:
Suite Add-On: Available for $50. p.mo.

Questions and Answers to your pricing
In the grid, I see blue and pink rows in the far right column, what are those?
Those are free student record positions. The illustration is telling you when you reach a particular number of active students, you will save yourself more by moving to the next tier. With some transitions we've built in free students because we recognize these phases as periods of growth for a consultant and this is our way of say "Way to go coach!"
When a student is Archived can I no longer see the record?
You will be able to interact with the record anytime. The record will only be captured. This means you would change the status to make changes to the record. All of the data associated with the Archived record will still remain included in your analytics. If you are a counselor who has not Archived students in the past, then you will find that by archiving you have retrospective data that you did not have previously. This can be a powerful tool when making business choices.
What does commitment mean?
The one year commitment does not mean you are choosing to pay annually. It is only your promise to us that you have chosen a tier plan and will stay on the chosen Tier for 12 months. By making this promise to us, it allows us to save a little money. We are passing on that savings to you. But we are not able to do that unless we know that we have your commitment. This commitment is only to the chosen Tier and not to the additional Active Student Records that are added beyond the Tier.
Can I choose to pay annually?
Paying annually does not incur a discount at this time because more than one discount cannot be applied at any one time and there is already a 25% promotional discount being offered. Some of our customers choose to pay annually because it makes sense for their program's accounting. We are happy to accommodate those needs.
How can I access the 25% discount?
Join now and the 25% discount is automatically applied to the cost on your screen inside your software account.
Is there a discount available for IECA or HECA Members, especially for beginners like me?
