How to Introduce CounselMore and the Portal to new Parents, Student, Clients & Assignment examples
CounselMore Assignments communicate a call to action: Counselors create client onboarding assignments for their clients, delivered via email containing calls to action and a link to counselor-company's unique portal login page (branded with logo), client logs in, and continues call to action, when complete student/parent clicks done, counselor is notified (red bell icon in app & via email).
Onboarding Assignments are different from the the portal invitation
While the portal invitation can be customized in the settings menu, onboarding assignments are a distinct feature. These assignments can be made available in the client portal, ensuring that clients see them as soon as they log in after receiving their portal invitation. Once the assignments are activated, clients will find them within their portal.
After services commence, automated progress summary emails regarding these assignments are sent to the student at intervals determined by the counselor.
Onboarding assignments typically contain resources designed to prompt the client to take specific actions. Examples of initial client onboarding assignments are discussed below.
Calendly and Acuity scheduling apps integrate seamlessly with CounselMore. Create a meeting event type in scheduling app, add questions to meeting form. When new prospective clients schedule a meeting, their information, including answers from the intake form, shows in their student record in CounselMore. Once this is done, make the student status Active and send them an invitation to access their portal.

Maximize what is contain in one Welcome Assignment: Add assignments that include elements such as video messages, written instructions, or additional resources. This approach ensures clients feel supported and engaged from the moment they begin using the portal.
- How to create a Routine-Assignment Welcome Assignment:
Routine Assignments are assignments that are created, saved and easily re-assigned as needed. They can be built in the settings menu or student's record and reverted to a routine.

Student record, Assignments tab: Menu select, Routine Assignments, select assignments and close menu.

Assignments are applied to student record: Choose order of, choose audience, choose start date, choose due date.

Each assignment remains edit-able: Navigate to add student specific Google Drive links to assignments and other student specific resources.
- Confidential Notes on Assignments: Counselors may advise each other via the confidential notes section on each assignment.
