With CounselMore's Per School Custom Columns feature, you can create personalized data fields to track information specific to each school.
Follow these steps to create and configure your custom columns:
Navigate to Per-School Custom Columns
1. Go to Settings.
2. Select Data Manager from the menu.
3. Click on the Per-School Custom Columns section.
Create a New Custom Column
1. Click Add Custom Data Column
2. Enter a Label: Type in the name of the column you wish to create.
3. Select Type: Choose the type of data this column will store:
◦ Text: For information such as names, notes, or other textual data.
◦ Date: For storing dates like deadlines or visit schedules.
Set Visibility Options
Decide who can view and interact with the custom column by toggling the visibility settings:
• Counselor Icon: Turns green when activated, making the column visible to counselors.
• Student Icon: Turns green when activated, making the column visible in the student portal.
• App Tracker Icon: Turns green when activated, making the column visible in the App Tracker.
Click the plus (+) icon to save your new data column.
Apply Changes to Existing Students
After saving your new custom column, click Apply Changes to Existing Students to ensure the column is updated across all relevant student records.
The new column will now appear in the designated views based on the visibility settings you selected.
If a custom column is no longer needed, you can delete it by Clicking the Trash Bin Icon next to the column you wish to delete.
Here's how it works in Multi License Plans:
Without Manager Suite
• Admin Capabilities: The admin can create custom columns, and these columns are visible to all users in the account.
• Counselor Capabilities: Counselors cannot create or edit custom columns; this privilege is restricted to the admin.
With Manager Suite
• All Users: Any user, whether Admin, Super User or Counselor, can create and manage custom columns.
• This feature allows for greater flexibility and collaboration among team members in multi-counselor plans.
What Happens to Custom Columns When a Counselor Is Deleted?
If a counselor who created a custom column is deleted from the system, the custom column they created will still remain in the account. This ensures continuity and prevents data loss.
