"OH NO, I just deleted a student. I thought I was deleting the dad who booked on my Calendly but instead I deleted the wrong one. [Student Name] is the student I deleted. I’m sure since you have the fail-safe of writing 'delete,' there is no way to get it back? Is that right?"
Support Response:
We’re sorry, but we cannot rebuild a deleted account.
However, we are transitioning to a feature that will allow you to Archive student records instead of deleting them. This will prevent accidental deletions while still allowing you to clean up and organize your records.
Here’s how it will work:
- Instead of deleting a record, you can rename the student and move their status to Archive.
- Archived records will no longer count as Active but can still be viewed at any time without affecting billing or active record organization.
This approach allows counselors to:
- Correct mistakes, like in this situation, by creating a new record while still retaining access to the old record.
- Save time and avoid losing valuable information when a record is unintentionally deleted.
What to Do Now
- If you need to create a new student record for the same email address but receive an error message stating that the email is already in use, this happens because the email is still linked to the Archived record (e.g., if a portal was opened or email communication occurred).
- Simply email support@counselmore.com, and we can clear the Student or Parent email address from the system for you.
Note: The previous delete functionality would not have resolved this issue with email reuse. This update is designed to provide greater flexibility and security in managing student records moving forward.
