How to add colleges for a Prospect Student

Understanding Prospect Status and College List Functionality in the Bio Banners

When managing student records, understanding the limitations and features of "Prospect" status can help you streamline your workflow and organize information effectively. 

What does Prospect Status mean? 

When a student's record is in Prospective mode, it signifies that the student is in the intake phase of the counseling process. During this phase, certain features and functions are intentionally limited to focus on initial information gathering.

In Prospect status:

  • The system is designed to prioritize gathering biographical and preliminary information
  • College-related features, such as adding or searching for colleges under the "Menu" section, are grayed out and unavailable

The limitation ensures that the focus remains on intake tasks before advancing the student to an Active status where full functionality is available

How to add colleges for a Prospect

Although the direct "Add college" function is restricted in Prospect status, you can still track potential schools using the Admissions Outcomes banner. 

Head to Student Record > Click the pencil > Scroll down > Admissions Outcomes 

Add Potential Schools:
Use this banner to add colleges the student is considering or colleges you are recommending for them.

These entries will remain in the Admissions Outcomes banner until the student’s status changes to Active.

These entries will be accessible in the lists for both counselors and students to view and reference.

Transitioning to Active Status

When the student's record is updated to Active status, the full suite of features becomes available, including:

  • Adding colleges to the student's official college list
  • articulating the student's preferences and finalizing their list more clearly

This transition marks the shift from intake mode to active counseling, enabling you to manage the student's journey through admissions process more effectively.
