Google Drive - Master Folders: Part III, Connecting Template Material Folders

Navigate to a Student's File Tab to apply Master Folders
- Go to any Student Record > Files Tab > Blue Beach Ball > And click Apply Master Folders
- Check the box next to the desired Master Folders
- Click "Copy Selected Master Folder(s)
Note: You'll notice the Master Folders have been copied over to the student's File Tab and also exported to their Student Folder in Google Drive automatically.

When thinking about the flow of your process, consider "applying" a "master folder" that contains a variety of subfolders, which may be empty or pre-filled, to maintain a consistent file organizational structure across all clients.
>> I have previously created my folders and attached my "Welcome Template" folder to the CounselMore settings. Inside the template folder contains other folders that represent the file structure. Some are initially empty others not.
Do this:
>> Add the student
>> Files tab: "Apply Master Folder" template
The folder structure that appears in my student's shared folder looks like this:

- "Parent Resources Welcome" folder, this contains my contract, methodology, menu of services, biographies of our staff.
- The access to "Parent Resources Welcome" folder is restricted from student access. I do that by changing the share privileges after the folder is created for the student by navigating to Google drive and right clicking on the folder, selecting "share" and removing the student's access.
- I do the same for the "Essays" folder regarding parent access. I can change these to suit my needs at any time.
- Other folders that appear are:
- "Letters of Recommendation" folder, initially empty, designated for upcoming materials.
- And so on...
- "Parent Resources Welcome" folder, this contains my contract, methodology, menu of services, biographies of our staff.
This method ensures a uniform and efficient way of managing files for each student but also all of our student files are structured in the same way. This makes collaboration across our team much easier and provides a consistency we never had before. Thank you CounselMore!!
