Clients - Storing Contacts, Parents, Siblings, Stakeholders, other than Students and physical address

Student Profile, Contacts section can include any person associated with the student. There is storage and functionality here.

Adding a Parent Contact

At any point after student creation

  1. Go to any Student Record > Click the pencil to open the Student Profile
  2. Click "Add New Contact"
  3. Enter name & email
  4. Click save

 


 

Choose if the Contact should be included in communications or not included in communications by turning the icon green or grey

To the left of the contact's name is the double head icon. This icon always indicates the parent, , family or student stakeholders. Also consistent in CounselMore, is that when an icon is green it means to show or go and when an icon is gray it means no or off.

Green = the contact will be copied on all Communications

Grey = the contact will not be copied on any Communications

This is all communications:

Messages, Assignments, Invoices, Broadcast, All Communications.


Adding a Physical Address

A database is only as good as the information you put into it - complete all fields.

Location Name is the title you will give this specific physical address. You may have students where you need their home address for billing and their school address for meetings, or a different stakeholder lives at a different address.

Address & Address 2 are both for the physical street address. Line 1 is the house number and street name. Line 2 is used for apartment number or office or suite number. Address 1 means writing down your house address (number of your address and the street name), address line number 2 is anything more specific like apartment or suite information.

City, State, Zip are standard.

You don't have to use this space for a mailing address, this could just be used to remind the counselor of where they meet the students. Some CounselMore customers operate within very large high schools and their counselors travel between the multiple high schools they serve. A counselor might use the physical address space to list the room number of where they meet the students most often - as a reminder.
