Billing Profile

When adding time in the accounting tab for students, the behavior of billing profile selection varies depending on the type of account plan you’re using. Here’s an explanation of how it works for both new and old plans:

New Plan Accounts

In new plan accounts, the system remembers the billing profile (BP) you last selected for each student. This makes it easier to manage multiple students with different billing profiles. Here’s how it works step-by-step:

1. Add Time for Student 1
◦ Navigate to the student’s accounting tab and add time and select billing profile (BP).


2. Switch to Student 2
◦ Go to another student, add time, and select a different BP for this student.


3. Return to Student 1
◦ Go back to the first student, add time again, and notice that the BP you last used for this student is already pre-selected.


4. Repeat for Student 2
◦ Perform the same action for Student 2, and the system will remember the BP you last used for this student as well.


This feature ensures that each student’s unique billing preferences are preserved, reducing repetitive tasks and streamlining your workflow.

Old Plan Accounts

In old plan accounts, there is no default billing profile selected when adding time. Every time you add time for a student, you will need to manually select the appropriate billing profile.

Why the Change?
This improvement in new plan accounts was designed to simplify billing management and enhance efficiency for counselors. By remembering the last-used BP for each student, the system minimizes errors and saves time, especially for accounts with diverse billing requirements.

For Old plan, by not pre-selecting a default, it reduces the possibility of confusion and helps ensure that the correct billing profile is intentionally chosen for each entry.
