Acuity + CounselMore Portals: Integration vs. Link Sharing

CounselMore allows you to connect Acuity so students can easily book meetings. You can either fully integrate Acuity so meetings sync into assignments and your dashboard, or simply share your scheduling link in the portal menu. Here's how:

1. Full Acuity Integration (Meetings Not Appearing in Assignments)

If you integrated Acuity but meetings are not showing in the student’s assignments tab, here’s what could be happening:

  • Meeting types were not fetched or selected during the integration setup.
  • Students are not using the same email address linked to their CounselMore portal. If a different email is used, the system will create a new prospect account instead of attaching the meeting to the student’s existing record.


Solution:

1. Go to Settings > Integrations > Acuity.
2. Fetch and select the meeting types you want to sync to CounselMore.



3. Remind students to use the same email address they use for their portal when booking.


Once set up correctly:

  • Scheduled meetings will appear in the student’s Assignments tab.
  • Appointments will also appear on your Dashboard > Scheduled Appointments.

2. Show Meeting Link Only

If you prefer not to use full integration and just want your Acuity link visible in the students portal:

  • Go to Settings > Account Setup > Client Portal Menu.
  • Enter your Acuity scheduling link and a Label (e.g., “Schedule a Meeting”).
    Save.
  • Save by clicking the green + icon.

This will add the scheduling link as a custom menu item in the CounselMore portals.



⚠️ Note: In this setup, meetings will not sync to assignments or your dashboard—they will stay in Acuity only.
